Welcome to BEOWULF (“the House,” “we,” “us,” or “our”), accessible via beowulf.studio and @beowulf.studios. By accessing our site, submitting an intake application, booking a studio allocation, or purchasing artwork, you agree to be bound by the following Terms & Conditions.

01. STUDIO OFFERINGS & ALLOCATIONS

  • Service Pillars: BEOWULF operates under three distinct structural pillars: The Classics (permanent foundational studies) , Seasonal Editions (limited-run conceptual releases) , and Private Commissions (bespoke gallery-scale collaborations).

  • By Appointment Only: All studio sessions, pop-up allocations, and private consultations operate strictly by appointment or approved application. We do not accept unannounced walk-ins.

  • Allocation Caps: To preserve an unhurried environment and maintain uncompromising quality, session allocations are strictly capped each month.

02. PAYMENT TERMS & RETAINERS

  • The Classics & Seasonal Editions: Entry-level studio sessions and seasonal pop-up allocations require 100% full payment at the time of booking to lock in your calendar window and eliminate administrative friction.

  • Private Commissions: Bespoke gallery commissions require either 100% full payment upon application approval or a 50% non-refundable retainer to reserve the private production block and studio space. Where a split model is used, the remaining balance is due forty-eight (48) hours prior to the scheduled shoot date.

  • Payment Processing: Payments are processed securely via third-party PCI-compliant gateways (Stripe). All monetary figures are listed in Canadian Dollars (CAD) unless explicitly stated otherwise.

03. CANCELLATIONS, RESCHEDULING & NO-SHOWS

  • Retainer & Payment Policy: All retainer fees and session payments are non-refundable. Because production blocks and studio spaces are strictly reserved for your session, cancellations result in the forfeiture of all payments made.

  • Rescheduling: Clients may request to reschedule a session by providing written notice at least seventy-two (72) hours prior to their appointment. Approved rescheduled sessions must be redeemed within ninety (90) days, subject to studio calendar availability.

  • No-Shows: Failure to attend a scheduled session without prior written notice will result in immediate forfeiture of the session and all associated payments.

04. ANIMAL WELFARE & STUDIO ENVIRONMENT

  • Pet-First Philosophy: Our studio environment operates entirely at the pace of our subjects. We prioritize calm, low-stress environments over rigid time constraints.

  • Client Responsibilities: Owners are responsible for the safety, health, and general behavior of their companions while on set. Pets must be up-to-date on required vaccinations. Please notify the studio during intake regarding any reactivity, anxiety, or specific temperament notes.

  • Session Interruption: If a subject exhibits severe distress, aggression, or unmanageable anxiety, BEOWULF reserves the right to pause or alter the session to prioritize the safety and well-being of the animal and studio team.

05. DIGITAL PROOFING & DELIVERABLES

  • Pic-Time Gallery Access: Following your session, unedited proofs will be presented via a private, password-protected Pic-Time gallery within 10–14 business days.

  • Master Selection & Retouching: Deliverables include hand-retouched master portraits as specified in your selected tier. Additional retouched digital files or physical artwork upgrades may be acquired directly through the Pic-Time gallery portal at established studio rates.

  • Archival Deliverables: Physical artwork (museum-grade cotton rag prints, custom framing, or canvas works) is fulfilled through our specialized fine-art printing partners. Delivery timelines for physical items vary depending on custom framing and lab production schedules.

06. INTELLECTUAL PROPERTY & IMAGE RIGHTS

  • Copyright Ownership: BEOWULF retains sole, exclusive copyright and intellectual property rights to all photographic works, master files, and artistic studies created during any session, pursuant to Canadian copyright law.

  • Client Usage License: Upon receipt of finalized master digital files, patrons are granted a non-exclusive, non-transferable license for personal, non-commercial display, archiving, and personal social media sharing.

  • Commercial Prohibitions: Clients may not sell, license, alter, edit, or utilize images for commercial purposes, corporate advertising, or resale without explicit written consent and a separate commercial licensing agreement from BEOWULF.

  • Model Release & Display: Unless a written privacy request is executed prior to the session, BEOWULF reserves the right to archive and display curated artwork across official channels (e.g., website portfolio grids, social channels @beowulf.studios, gallery exhibitions, and archival lookbooks).

07. LIMITATION OF LIABILITY & GOVERNING LAW

  • Studio Liability: While every precaution is taken to secure digital files and maintain a safe studio environment, BEOWULF’s total liability for any loss, damage, equipment failure, or failure to deliver images is strictly limited to the return of fees paid for the session.

  • Jurisdiction: These Terms & Conditions are governed by and construed in accordance with the laws of the Province of Ontario and the federal laws of Canada applicable therein.
